Team Member Types and Feature Access

In addition to selecting a user's User Type and Role(s), administrators can configure several additional permissions for each team member.

User Types

A user's User Type controls their overall permissions within Onboard. User Types determine what features and administrative actions a user can perform throughout the platform. See https://learn.onboard.io/permission-sets-explained for the default permission sets.

Team Member Settings & Permissions

In addition to selecting a user's User Type and Role(s), administrators can configure several additional permissions for each team member.

Feature Access

Feature Access allows administrators to grant access to specific administrative features without changing the user's overall User Type.

Available options include:

  • Manage Billing – Allows the user to access the Billing & Subscription page, including viewing subscription details and current usage.
  • KPI Dashboard – Grants access to the KPI Dashboard feature.
  • Insights – Grants access to Insights features.
  • Manage Chatbot – Allows the user to manage Chatbot settings and configuration.

Note: Only Administrators can assign or modify Feature Access permissions. All other users have read-only access to the Team Members page.

🗒️ Note on Roles vs. User Types

Roles are not the same as User Types. A user may have any User Type while also having one or more project Roles.

Communications

If your organization has the Meeting Insights add-on enabled, additional communication settings become available.

These settings allow administrators to:

  • Enable or disable importing meeting recordings from:
    • Google Meet
    • Microsoft Teams
    • Zoom
  • Grant Access to Meeting Insights for the individual user.

Note: Communication settings are only available for organizations with the Meeting Insights add-on enabled.

Billing & Usage

Users with the Manage Billing permission (and all Administrators) can:

  • Open the Billing & Subscription page.
  • View subscription information.
  • View current platform usage.
  • View invoices.
  • Manage billing-related settings and payment methods.
