Setting Up Milestones

Milestones start in your workspace settings. This is where you define the stages of your customer journey that you want to track.

Accessing Milestone Settings

  1. Go to Settings
  2. In the left navigation, select Milestones
  3. You'll see the list of your workspace's milestones

Default Milestones

When you first set up Onboard, you get five pre-configured default milestones:

  • Kickoff Completed — Customer and team are aligned on goals and timeline
  • Setup/Configuration Complete — Your systems and processes are configured for the customer
  • Integration/Data Connected — Customer data is flowing into your system
  • First Value Achieved — Customer sees their first tangible result or ROI
  • Operational/Live/Adopted — Customer is actively using your system in their business

You don't have to use all of these. Keep the ones that matter for your workflow and delete the rest.

Create a Custom Milestone

If the defaults don't match your process, create your own:

  1. In Settings › Milestones, click Add Milestone
  2. Enter a name for the milestone (e.g., "Compliance Review Passed")
  3. Optionally, set a Value Rating (see below)
  4. Click Save

Your new milestone is now available for use on tasks.

Edit a Milestone

To change a milestone's name or value rating:

  1. In Settings › Milestones, click the milestone you want to edit
  2. Update the name and/or value rating
  3. Click Save

Any tasks already marked with this milestone will reflect the updated name.

Set Value Ratings (Optional)

A Value Rating is a percentage (0–100%) that represents how much value a customer has received by the time they hit a milestone. This is optional but powerful for tracking progress.

Example:

  • Kickoff Completed = 10% value
  • Setup Complete = 20% value
  • Integration Complete = 40% value
  • First Value Achieved = 70% value
  • Operational = 100% value

To set a value rating:

  1. Click the milestone in Settings › Milestones
  2. In the Value Rating field, enter a percentage or leave it blank for "Not set"
  3. Save

On the Dashboard: Milestones without a value rating display "—" and show an empty state. Once you set a rating, the dashboard fills in the metric.

Delete a Milestone

If you no longer need a milestone:

  1. In Settings › Milestones, find the milestone
  2. Click the delete icon or menu option
  3. Confirm deletion

Deleting a milestone removes it from the list and from any new task assignments. Existing task flags remain in the data but are no longer visible in new dropdowns.

Tips for Success

Start simple: Use the defaults first. Add custom milestones only if your process requires them.

Name milestones clearly: Use action-oriented language (e.g., "Setup Complete" not "Step 2").

Set value ratings early: Milestones are most useful on the dashboard when you've assigned value ratings. This tells your team where real progress is happening.

Review regularly: Check in on your milestones quarterly. As your onboarding process evolves, update milestone definitions to match.
