Setting up Onboard's 'Meeting Insights' Integration - powered by FORA.
Meeting Insights is a new premium feature that leverages the FORA application's powerful AI functionality, integrating your meetings directly into your Onboard.io projects.
Meeting Insights is currently a beta feature available to existing customers. This new feature integrates Microsoft Teams, Google Meets, and/or Zoom online meeting software applications to directly feed your cloud recorded meetings into Onboard.io. Our integration with FORA allows your cloud recorded meetings to automatically flow through to Onboard.io and be associated to each project based on your settings and AI matching of participants and keywords. Meeting summaries are captured and associated with each project; which are also leveraged to provide valuable 'Insights' for you and your team.
If you would like to enable this integration, please contact us at support@onboard.io to do so. Once enabled you will notice the new 'Insights' feature is present under the main menu. If you navigate to settings there will also be a new feature page called 'Meetings', as well as a 'Meetings' tab under the Company Settings page. We'll walk through all of the settings in the below setup guide.
Step 1. Head over to the Settings>Integrations page and locate the three supported meeting platforms; Microsoft Teams, Google Meets, and Zoom.

You can connect 1 or all of these platforms, provided that you have an account with that meeting software platform already established. Simply click on the 'Settings' button, and follow the specific instructions to connect each meeting platform to your Onboard.io instance. Once connected this will enable future meetings held within each meeting software provider to be captured within Onboard.io.
📌 Note: Only meetings that are recorded to the cloud of each meeting provider (or that are captured with the fora bot) will be automatically brought over to Onboard.io. If a meeting is recorded locally, you can manually upload that meeting recording to Onboard.io.
Step2. Navigate to the Settings>Company Settings>Meeting Settings tab. There are two main settings which control what meetings are shared with Onboard.io and who on your team has access to these meetings.
The first one 'External vs. All' will determine what meetings flow through to Onboard.io. The default is 'External Meetings Only' which will only bring over meetings where there are attendees outside of your organization included on the meeting. If you would like for all meetings to flow through to Onboard.io simply click the slider over to 'All Meetings'.

Next, you can also determine who has access to view these meetings within Onboard.io. If you would like to restrict access of meetings to those who attended that meeting; then slide this setting to 'Attended Meetings Only'. If you would like for any Onboard.io team member to be able to view meetings associated with a project that they have access to, then you can toggle this to 'All Meetings'.

📌 Note: Project Match Rules table exists at the bottom of this page and controls the rules and communication labels that match up your meetings to the relevant projects. These rules are automatically populated by the application and we recommend that you do not edit these.
Step 3. All of your future cloud recorded meetings will now flow through to the Settings > Meetings page automatically.

Click 'Add Meeting' to manually upload any meeting directly into Onboard.io. Note that this requires that you have an .mp4 file of the meeting handy.
As previously mentioned meetings should automatically be associated with the relevant Projects within Onboard.io, but you can manually edit or adjust any meeting directly from this table. Click the 3 dots at the right end of the row for any meeting to reveal a few options. 'Edit Meeting Projects' will allow you to add/remove that meeting to any project within Onboard.io. 'Make private to invitees only' will allow you to control viewable access of the meeting. And 'Archive Meeting' will archive the meeting and remove it from displaying within Onboard.io or being utilized within Meeting Insights.
Note: The 'Fora Calendar' tab applies only to users who have a paid FORA account. Those that do, can click 'Connect Calendar Account' to connect their FORA calendar to Onboard.io. This will ensure that any meeting captured by FORA is also shared with Onboard.io.
Step 4. Establish which meeting software providers are connected to Onboard.io for individual user accounts. Within Settings > Users & Roles click the 3 dots next to any user and select 'edit team member'. At the bottom of the popup modal there is now a 'Communications' section that allows you to control which meeting platforms are connected for each user. Once enabled, cloud recorded meetings for each meeting software provider will automatically flow through to Onboard.io. Conversely if you'd like for meeting recordings for that user to not be brought over to Onboard.io, you will unselect that provider.

Once you have your integration established and all meeting provider settings configured, you will start to see your meetings flow through to Onboard.io. Administrators will see ALL meetings display within the Settings > Meetings page. Other Onboard.io users and meeting participants will see the meetings that they have access to, flow through directly to each Project Dashboard page. (Our AI matching capability ensures that the proper meetings are automatically associated with each specific project within onboard.io)

Clicking on a meeting will open up a new window that reveals the full meeting recording along with lots of pertinent meeting information; including an executive summary, potential key takeaway's, and itemized high level meeting recap notes.

Meeting Insights. Administrator and Manager level onboard.io user accounts will now see the 'Insights' feature tab appear directly within the main menu. This page will frequently populate new insights based on meeting summaries, applied through different 'Lenses' or business perspectives. Lenses are secure, personalized insight filters that help you focus on specific business priorities while maintaining data protection. They allow executives to view information through different perspectives relevant to their role. Onboard.io will offer 2 standard lenses (Product Feedback and Customer Sentiment) and others will be available as this feature evolves.
